Privacy Policy
Last updated: 20 September 2026
Rentevia is a product operated by R2BHub. This Privacy Policy explains how R2BHub collects and processes personal data when you visit the Rentevia website, contact us, request a demo, use the Rentevia platform or interact with Rentevia as a rental operator, partner, supplier or prospective customer.
This policy is written for the public website and the Rentevia service. Where Rentevia processes booking or customer data on behalf of a rental operator, the rental operator is generally the controller of that data and R2BHub/Rentevia acts as processor. In that case, the rental operator's own privacy notice and any data processing agreement may also apply.
Controller
The controller for data collected directly by R2BHub/Rentevia is R2BHub. The full registered company name, address and registration details should be added here before publication. Contact: hello@rentevia.com.
When Rentevia acts as processor
Rental operators may use Rentevia to manage reservations, customer requests, booking pages, payment status, deposits, availability, fleet or resource data and operational notes. For personal data that rental operators enter into the platform about their own customers, staff or operations, the rental operator is generally responsible for deciding why and how that data is processed.
If you are an end customer of a rental operator and have questions about a booking, rental contract, refund, deposit, customer account or personal data handled by that rental operator, you should normally contact the rental operator first. Rentevia may assist the rental operator where it acts as processor, subject to applicable law and the relevant data processing agreement.
Data we collect directly
When you visit the website, we may process technical data such as IP address, browser type, device information, operating system, pages visited, referring URLs, date and time of access, language choice, cookie preferences and security-related log data.
When you submit a contact or demo form, email us or otherwise contact us, we may process your name, work email, business name, business type, message, selected language, consent confirmation, IP address, timestamp and any information you choose to include.
When a rental operator uses the platform, we may process account and business information such as account users, login data, company name, contact details, plan information, billing data, support requests, configuration data, booking page content, fleet or resource details, availability settings, analytics events and operational records.
Booking and platform data
Depending on how a rental operator configures Rentevia, platform data may include customer names, contact details, booking requests, rental dates and times, selected items, guest count, payment status, deposit or pre-authorization status, messages, cancellation information and operational notes. Rentevia processes this data to provide the platform and related services.
Rental operators are responsible for ensuring that customer data they collect and upload through Rentevia is lawful, accurate, necessary and covered by appropriate notices, consents or other legal bases.
Purposes of processing
We process personal data to provide and secure the website, respond to requests, prepare demos and proposals, create and manage accounts, configure booking pages, provide the Rentevia platform, deliver support, process billing and payments, maintain security logs, prevent abuse, measure website performance with consent, improve the service, document contractual relationships and comply with legal obligations.
We may also process business contact data for legitimate commercial follow-up, product updates, service communications, security notices, operational messages and customer relationship management. Marketing emails are sent only where permitted by law or with consent, and may be unsubscribed from where applicable.
Legal bases
Depending on the context, processing may be based on performance of a contract or pre-contractual steps, consent, compliance with legal obligations, legitimate interests such as operating and securing the service, answering business enquiries, improving the platform, preventing misuse and establishing or defending legal claims.
Cookies and analytics
We use necessary browser storage to remember language and cookie choices. Google Analytics is loaded only after analytics consent. Details about cookies, local storage, providers, purposes and storage periods are available in the Cookie Policy.
Anti-spam and security
Contact forms may use Cloudflare Turnstile to help prevent spam and automated abuse. This may involve technical verification data needed to assess whether a form submission is legitimate. We also process logs and security events to protect the website, platform, users and infrastructure.
Recipients and service providers
Personal data may be processed by providers that help us operate Rentevia, including hosting providers, infrastructure providers, analytics providers, payment providers, email providers, security and anti-spam providers, support tools, development tools, accounting providers and professional advisors.
These providers process data only where needed for the relevant service and, where required, under contractual confidentiality and data protection obligations.
International transfers
Some providers may process data outside Switzerland or the European Economic Area. Where this happens, R2BHub should ensure that appropriate safeguards or legally recognized transfer mechanisms are in place, such as adequacy decisions, standard contractual clauses or equivalent contractual protections where required.
Retention
We keep personal data only for as long as reasonably necessary for the purposes described in this policy, unless a longer period is required or permitted for legal, accounting, tax, payment, security, fraud prevention, dispute, enforcement or legitimate business purposes.
Contact and demo requests are retained for as long as needed to respond, prepare commercial follow-up and document the relationship. Account, billing and contractual records may be retained for the statutory or commercially necessary period. Security logs are kept for a limited period unless needed for investigation or enforcement. Backup copies may remain until overwritten or deleted according to normal backup cycles.
Security
We use appropriate technical and organizational measures intended to protect personal data against accidental or unlawful destruction, loss, alteration, unauthorized disclosure or unauthorized access. These measures may include access controls, restricted administrative access, secure infrastructure, encryption where appropriate, logging, backup processes and provider due diligence.
No website or platform can be guaranteed to be completely secure. If you suspect unauthorized access or a security issue involving Rentevia, contact us promptly at hello@rentevia.com.
Your rights
Under applicable data protection law, you may have the right to request information about personal data processed about you and, where applicable, request correction, deletion, restriction of processing, objection to processing or data portability. You may also withdraw consent where processing is based on consent.
To exercise rights regarding data for which R2BHub/Rentevia is the controller, contact hello@rentevia.com. We may ask for information needed to verify your identity. If your request concerns data controlled by a rental operator, we may direct you to that rental operator or handle the request in cooperation with them where legally required.
Complaints
If you believe that your personal data has not been handled properly, you may contact us first so we can review the issue. You may also have the right to contact the competent data protection authority. In Switzerland, this may be the Federal Data Protection and Information Commissioner (FDPIC).
Changes to this policy
We may update this Privacy Policy from time to time to reflect changes to the website, platform, service providers, analytics setup, legal requirements or processing model. The updated version will be published on this page.
